Information for tenants on how to apply for a rental through Pinkertons

Information on applying for a rental

Once you have viewed a rental property which matches your requirements, you will need to apply via our application process. This will involve Pinkertons obtaining references from your employer, current landlord and credit referencing agencies.

There are two ways in which Pinkertons can accept your application and all applicants for our properties have the option to provide referencing material directly to our Lettings Team or can choose to pay a fee and Pinkertons will use our referencing partner to obtain this information for you.

Option one - You will complete your own application

Each applicant will be required to submit the following original documents in full to one of our offices -

  • A fully completed application form which can be downloaded here or online using the link below
  • Credit check from Experian, Equifax or Call Credit - completed within the last 48hours
  • A written employer reference on headed paper - completed and signed by a Company Director
  • Three months' payslips
  • Three months bank statements
  • Photographic ID
  • Proof of your address
  • A written landlords' reference (if applicable)
  • With the exception of your photographic ID and proof of address, Pinkertons will retain all of the originals.

Option two - Pinkertons will complete the referencing process

We offer to complete the reference checks on your behalf through our referencing partner.

Please note:
There is a cost of £50 for each applicant. By using this application method, you are consenting to this charge.

To start this application process, you will need to complete a shortened application form and return it to one of our offices. Once submitted we will enter your details into our system and you will be emailed a link to further the process.

Please note that in either instance your application is not classed as submitted until the full referencing process has been completed and Pinkertons are in receipt of all of the documents required.

Income To Rent Ratio

To meet the minimum income requirements for the property you must be earning 2.5 x the annual rent e.g. if the rent is £550 per month you need to earn over £16,500 to apply for the property. If you earn less a guarantor will be required and will be subject to the above referencing options.

A guarantor must be earning 3 x the annual rent to qualify e.g. if the rent is £550 per month the guarantor needs to earn over £19,800 to qualify.

If you are unemployed and in receipt of housing benefit you must have a guarantor and the guarantor must be in full time employment.

Acceptance

Once you have been accepted for a tenancy, we will agree a move in date with you and you will be required to visit our office in person within 48 hours and sign a tenancy agreement. This is a legally binding document, therefore if you would like time to read over the document before signing please contact a member of the lettings team and this will be facilitated at one of our offices.

If a guarantor is required they will also need to be present at the time of you signing your tenancy agreement as they will be required to sign a Deed of Guarantee.

Deposit & first months rent payments

At the time of signing your Tenancy Agreement you will be required to pay a holding deposit which is equal or greater than one month's rent.

Once your tenancy starts this money will become your tenancy deposit and will be paid to TDS Northern Ireland and held in accordance with The Tenancy Scheme Regulations NI (2013).

Before your move in date you will need to pay to us the first months' rent payment. All further rental payments will be payable monthly in advance by direct debit or standing order.

The method is determined by what service your landlord will choose from us.

Insurance

When completing a tenancy on one of our properties we would strongly suggest you consider taking out a tenant's contents insurance policy. This policy should be for your possessions but also provide a level of cover for landlord's fixtures and fittings.

This extra cover gives you peace of mind in knowing that damages can be claimed on your insurance policy, therefore protecting any potential deductions from your security deposit. We recommend that your tenant's contents insurance policy is in place at the start of the tenancy to ensure you are covered from day one.

You should always shop around for the best cover, but if you need help finding suitable cover at a competitive price, we can introduce you to our Insurance Broker who has many years' experience in arranging such insurance.
